Pack your bags, we're going to Cancun, Mexico! We are very excited to have you join us for our destination wedding. To make things simple, we've hired a travel agent to help our guests arrange their travel. We've chosen to stay at Hyatt Ziva Cancun and would love for you to join us!

As we continue planning for our wedding, we kindly request that all guests book their rooms through our designated wedding room block. This is important because we are contractually obligated to it, and it serves as the official RSVP for our headcount. Booking through the room block also ensures that you have access to all the guest services and arrangements we've made through our travel agent. Guests who do not book within the block may not have access to these services, which could create unnecessary confusion and complicate the scheduling of our wedding events. Thank you so much for helping us keep things efficient and stress-free. We can't wait to celebrate with everyone!

STEP 1: REVIEW TRAVEL/BOOKING DETAILS
Please review all of the information regarding the resort and rooms available. Pricing is listed per person based on double occupancy (two people sharing a room). Airport transportation is being provided and is included in the room rate. These transfers have been secured to ensure all our guests have safe and reliable transportation to/from the airport and resort. The group room rates are valid for travel between January 23 - February 1, 2026.

STEP 2: SUBMIT RESERVATION FORM
Have one person from your party complete the reservation form using the link below. Please accurately select your travel dates and desired room type. Make sure to include all traveler's information including legal names and birthdates. To guarantee availability and pricing, submit your deposit as soon as possible. 

STEP 3: REVIEW INVOICE
After you submit the reservation form, you will receive an email with your invoice within 24-48 hours. The invoice will list your package price as well as include a travel insurance quote based on your specific reservation details. 

STEP 4: APPLY PAYMENT
Once you have reviewed your invoice for accuracy, you will pay the deposit. After the payment has been successfully processed, you will receive a receipt and confirmation email with a list of next steps.

STEP 5: YOU'RE BOOKED!
Now it's time to secure your flights, if you haven't done so already. Once your airfare is purchased, please forward the airline confirmation email (no later than November 19th) to tricia@tropicalsunvacations.com. You will also receive email reminders from Tropical Sun Vacations and additional travel information as you get closer to travel to help you prepare for your trip. 

REMINDERS

Hyatt Ziva Cancun

We are holding a certain number of rooms valid for travel between January 23 - February 1, 2026. A 3-night minimum stay is required. Go to the "Accommodations" section and click on the “Book My Room” link. The link is also located at the bottom of this section for your convenience.

PAYMENT INFORMATION

Reserve your room today with a low deposit! Enjoy the flexibility to make payments over time or pay in full by the final due date.

DEPOSIT

A minimum non-refundable deposit of $150.00 per person is due no later than Wednesday, May 28, 2025.

FINAL PAYMENT
All final payments are due by Wednesday, July 30, 2025.

ACCOMMODATIONS

Please review the following room categories and choose the one you prefer. When completing the reservation form, be sure to accurately select your travel dates and the room category of your choice. Please note that we have reserved a limited number of rooms in each category for our guests within the designated wedding block. Once a particular room category becomes fully booked, it's unlikely that we will be able to add more. Therefore, we strongly advise you to submit your deposit as soon as possible to secure your desired room type. As a reminder, these rates are valid for travel from January 23 - February 1, 2026.

IMPORTANT
Roommates should designate ONE person to fill out the form (one form per room, not per person). Please include the second person's email address so both guests will receive a copy of the invoice along with future emails from Tropical Sun Vacations.

MAXIMUM OCCUPANCY
Maximum capacity in a guest room is 2 adults and 2 children under 12 years of age or 3 adults and 1 child under 12 years of age.

Children aged 0-2 years stay free. The following rates apply to children aged 3-12 years. Child rates are only valid with two paid adults in the same room.

ADULT RATES
The pricing below is PER PERSON (based on double occupancy), with a 3-night minimum stay required. Single occupancy rates or triple occupancy rates can be quoted upon request. To avoid the single occupancy premium, we recommend bringing a guest. Additional room types are available and can be added to the room block by request. If you’re interested in a different room type or need alternative dates, please explain in the “notes” field of your reservation form.

WEDDING ITINERARY

We kindly ask that you arrive at the resort no later than Tuesday, January 27th, to take full advantage of all the wedding festivities we have planned.

Friendly reminder that our wedding is on Wednesday, January 28th. Please book your flight home at the earliest on Thursday, January 29th. We encourage you to stay longer if possible!

WEDDING DRESS CODE

Resort casual attire. Please refrain from wearing jeans or beachwear.

Men: Linen or dress pants, collared shirt. Shorts are acceptable. 
Women: Sundresses/cocktail dresses. Long or short are both acceptable. Any color or floral patterns are welcome.

FLIGHT INFORMATION

You will fly into Cancun, Mexico at Cancun International Airport (CUN).

Guests are required to purchase their own airfare. We recommend booking your flights as early as you can. You may book your flight via your favorite airline and we suggest using miles or credit card points if you have them.

IMPORTANT! Flight information is due to Tricia, our travel agent, no later than November 19, 2025. If flight information is not provided by the deadline, you will forfeit your prepaid transfers. 

After you book your flights, please forward your airfare confirmation email to Tricia at tricia@tropicalsunvacations.com. She needs this information to arrange your arrival and departure transportation in addition to keeping us notified of your travel dates for planning our wedding events.


TRAVEL INSURANCE

Travel insurance is strongly recommended to protect you from the unexpected. The travel insurance has coverage for medical, inclement weather, flight delays/cancellations/missed connections, baggage delays/cancellations, etc.

The cost of the travel insurance is based on the total cost of your trip + each traveler's age + your state of residence (typically 6%-10% of the total cost of the trip).

Upon submitting the reservation form, you will automatically receive a travel insurance quote based on the details of your trip. This does not commit you to purchasing it as the decision to buy the insurance is entirely up to you. 

If you choose not to purchase insurance, please know that your reservation is 100% non-refundable should you need to cancel. Once again, even though travel insurance is optional, it is HIGHLY recommended!!

PAYMENT PLAN

You don't have to pay all at once! Book early and take advantage of easy monthly payments.

A minimum non-refundable deposit of $150.00 per person is due no later than Wednesday, May 28, 2025.

*Final balance is due by Wednesday, July 30, 2025.

THINGS TO DO IN CANCUN

As we approach travel, you will be provided with the most up-to-date list of recommended available excursions/tours in the Cancun area. However, rest assured there is plenty to do at the resort that is already included with your stay.

NOTES OF IMPORTANCE

Rooms are reserved on a first-come, first-served basis. Group rates outside of the reserved rooms are not guaranteed, therefore, the sooner you reserve with your deposit, the better.

The pricing is an ALL-INCLUSIVE room rate. If you book at a different hotel/resort, you will not be able to access the property without incurring additional fees for daily passes. We would like to keep family and friends consolidated at the resort for accountability.

Lastly, when booking your reservation, please ensure to fill out the reservation form linked below. You will then be sent an invoice within 3 business days. Once your payment has been submitted, our travel agent will process the payment and email you a confirmation and receipt within 48 hours.

QUESTIONS TO REVIEW

DOES THE NAME ON YOUR PASSPORT MATCH?
The first and last name that you use to book your hotel and flight must match the name on your passport exactly (middle names are not required). Do not use nicknames, shortened names, etc. Please double-check your passport to ensure that your name matches or change fees may apply.

ARE YOU USING A DEBIT CARD?
Most debit cards have daily charge limits. Depending on your bank, this daily charge limit may be as low as $500. Please confirm the daily charge limit with your bank prior to submitting a large debit card payment. If you attempt to charge over your daily limit, your card will be declined.
Note: Debit Cards are NOT recommended for international travel. 

ARE YOU PREGNANT OR PLANNING TO BECOME PREGNANT?
Many airlines have restrictions for travelers who are 28–36 weeks pregnant, depending on their policies. Some may also require a doctor’s note confirming you are fit to fly, especially during the third trimester. It’s important to verify whether your travel insurance covers pregnancy-related issues, including medical care abroad. Additionally, check for any health advisories or pregnancy-related risks specific to your destination.

ARE YOU TRAVELING WITH A CHILD WITHOUT BOTH BIOLOGICAL PARENTS?
If a child under 18 is traveling without both parents or legal guardians, a notarized letter from the absent parent/guardian may be required, granting permission to travel outside the United States. This letter should also authorize the accompanying adult to provide emergency medical care if needed. Please note that it is the sole responsibility of the traveler and the child’s parents/guardians to ensure all required documentation is provided to airport authorities. Tropical Sun Vacations is not responsible for any issues arising from missing or incomplete documentation.

HAVE YOU EVER BEEN CONVICTED OF A FELONY?
You may not be able to get a passport or clear immigration if you have been convicted of a felony. Please contact your attorney to review the specifics of your case.

DO YOU OWE BACK CHILD SUPPORT?
You may be detained at customs if you owe child support. Please contact your attorney to discuss prior to payment.

WHAT DOES "ALL-INCLUSIVE" MEAN?

Food, drinks (yes, alcohol too!), room service, entertainment, and activities are included in the room rate.

So, sit back, relax, and let the good times roll! 

WHAT IS A ROOM BLOCK?

We’ve reserved a block of rooms for our wedding group by signing a contract with the resort and paying a deposit.

This means we’re committed to a specific number of rooms, and only those booked through Tropical Sun Vacations will count toward this agreement.

WHEN SHOULD I BOOK MY ROOM?

ASAP!

We have secured a certain number of rooms for our guests under our room block. If all of the rooms become reserved, then our travel agent will have to request additional rooms from the resort which are subject to availability and pricing at the time of the request.

Room reservation deposits are due no later than Wednesday, May 28, 2025, but we recommend booking as soon as possible.

HOW MANY NIGHTS SHOULD I STAY?

A minimum of 3 nights is required at the resort for our wedding.

Guests are encouraged to take advantage of the group rate and make a vacation out of it. Stay a few extra days and enjoy the sandy beaches of Cancun, Mexico. The group rate is valid from January 23 - February 1, 2026.

HOW DO I BOOK A ROOM?

By submitting a reservation form and booking through our travel agent, you are securing space within our exclusive room block as a guest of our wedding.

IS THERE A PAYMENT PLAN OPTION?

Yes! You have the option of making payments through our travel agent until the final payment due date. Therefore, the sooner you book, the more time you’ll have to spread out your payments.

Reminder: An initial non-refundable deposit of $150.00 per person is due by May 28, 2025. Final payment is due July 30, 2025.

WHAT'S INCLUDED IN THE PRICING?

The rates listed include:

• Resort accommodations
• All-inclusive meal plan – also includes all beverages including alcohol
• Roundtrip group nonstop transportation between the airport and resort
• Taxes & fees

WHEN SHOULD I BOOK MY FLIGHT?

Please book your flight to Cancun International Airport (CUN) at any point but no later than November 19, 2025. 

Flight information is due to our travel agent by November 19th. Please forward your flight confirmation email to Tricia at tricia@tropicalsunvacations.com as soon as you book your flight. If this information is not provided by the deadline, your prepaid transfers will be forfeited.

WHAT DOCUMENTS ARE NEEDED?

All guests, including infants and children, must have a valid U.S. PASSPORT BOOK.

Passport cards, enhanced driver's licenses or SENTRI cards are not valid for air travel.

If you already have a passport, please check the expiration date. The US State Department recommends that international travelers have 6 months of validity remaining on their passport after their return trip date.

WHEN SHOULD I GET A PASSPORT?

ASAP!!

Current processing times are 6 to 8 weeks for standard and 2 to 3 weeks for expedited (extra fee). Be sure to allow yourself enough time to apply/renew your passport.

I WILL BE SHARING A ROOM WITH ANOTHER GUEST, HOW DOES THAT WORK?

Please coordinate with your roommate(s) and designate ONE person to fill out the reservation form.

Reservation forms should be one per room, not one per person. If you and your roommate live at different addresses, make sure to provide the second passenger’s personal information including their email address, phone number, and home address.

What If I’m Not Sure Who My Guest Will Be When Booking My Room?

If you're planning to bring a guest but aren’t sure who that will be just yet, no worries! You can reserve a room for yourself now, and then once you know who your guest will be, you can add them to your reservation.

If this is the case, please submit the reservation form for the primary traveler only and note in the comment box that you plan to add a second passenger at a later date.

Please note that you will initially be charged the single occupancy rate, which will adjust to the double occupancy rate once your guest is added. Additionally, there is a cutoff date for making any changes to bookings, such as adding a guest, which will be clearly stated on your invoice.

WHAT HAPPENS IF I DON'T BOOK WITH TROPICAL SUN VACATIONS?

We kindly ask that you book your resort stay within our designated room block at the resort with Tropical Sun Vacations. 

Booking within our wedding room block is important for several reasons:

• Our travel agent has worked to negotiate a contract for the ENTIRE group which includes a special set rate and included transportation
• Groups are given priority status at the resort, so you will miss out on all the perks and VIP treatment
• Groups are given priority room assignments, so when booking independently, you're likely getting placed in an undesirable location away from everyone else
• Groups are prioritized in oversold situations, ensuring all group bookings are protected, while independent bookings are not and may result in you being moved to another resort

Guests who choose not to book within the wedding room block, unfortunately, will:

• Miss out on the group rates
• Be required to pay in full upfront instead of paying over time
• Forfeit access to travel support or assistance in case of an emergency
• Need to purchase a day pass to attend wedding events on the property (day passes are not guaranteed and are extremely limited due to occupancy restrictions)

SHOULD I BUY TRAVEL INSURANCE?

We highly advise that all travelers purchase travel insurance, as it is the traveler’s responsibility to secure protection. Without insurance, your investment will not be covered in the event of cancellations.

Because group reservations at all-inclusive resorts are pre-paid and non-refundable, travel insurance is strongly encouraged. Life is unpredictable and plans can change.

The cost of insurance is based on your age, your state of residency, and the total cost of your trip. Due to this, travel insurance will be quoted and individualized for each reservation.

Without insurance, there are no refunds should your plans change. You will also not have any medical coverage for mishaps or catastrophic events. Your US health insurance will likely not work outside of the United States.

WHAT IF I NEED TO CANCEL?

We really hope you can make it, but if something comes up please refer to the following cancellation terms:

If you cancel ON OR BEFORE July 30, 2025, there is no penalty (please note the initial deposit of $150.00 per person is non-refundable).

If you cancel ON OR AFTER July 31, 2025, all payments are 100% non-refundable (this is why we strongly encourage travel insurance).
