WHAT DOES "ALL-INCLUSIVE" MEAN?

Food, drinks (yes, alcohol too!), room service, entertainment, and activities are included in the room rate.

So, sit back, relax, and let the good times roll! 

WHAT IS A ROOM BLOCK?

We’ve reserved a block of rooms for our wedding group by signing a contract with the resort and paying a deposit.

This means we’re committed to a specific number of rooms, and only those booked through Tropical Sun Vacations will count toward this agreement.

WHEN SHOULD I BOOK MY ROOM?

ASAP!

We have secured a certain number of rooms for our guests under our room block. If all of the rooms become reserved, then our travel agent will have to request additional rooms from the resort which are subject to availability and pricing at the time of the request.

Room reservation deposits are due no later than Wednesday, May 28, 2025, but we recommend booking as soon as possible.

HOW MANY NIGHTS SHOULD I STAY?

A minimum of 3 nights is required at the resort for our wedding.

Guests are encouraged to take advantage of the group rate and make a vacation out of it. Stay a few extra days and enjoy the sandy beaches of Cancun, Mexico. The group rate is valid from January 23 - February 1, 2026.

HOW DO I BOOK A ROOM?

By submitting a reservation form and booking through our travel agent, you are securing space within our exclusive room block as a guest of our wedding.

IS THERE A PAYMENT PLAN OPTION?

Yes! You have the option of making payments through our travel agent until the final payment due date. Therefore, the sooner you book, the more time you’ll have to spread out your payments.

Reminder: An initial non-refundable deposit of $150.00 per person is due by May 28, 2025. Final payment is due July 30, 2025.

WHAT'S INCLUDED IN THE PRICING?

The rates listed include:

• Resort accommodations
• All-inclusive meal plan – also includes all beverages including alcohol
• Roundtrip group nonstop transportation between the airport and resort
• Taxes & fees

*Optional travel insurance is available to protect your investment

WHEN SHOULD I BOOK MY FLIGHT?

Please book your flight to Cancun International Airport (CUN) at any point but no later than November 19, 2025. 

Flight information is due to our travel agent by November 19th. Please forward your flight confirmation email to Tricia at tricia@tropicalsunvacations.com as soon as you book your flight. If this information is not provided by the deadline, your prepaid transfers will be forfeited.

WHAT DOCUMENTS ARE NEEDED?

All guests, including infants and children, must have a valid U.S. PASSPORT BOOK.

Passport cards, enhanced driver's licenses or SENTRI cards are not valid for air travel.

If you already have a passport, please check the expiration date. The US State Department recommends that international travelers have 6 months of validity remaining on their passport after their return trip date.

WHEN SHOULD I GET A PASSPORT?

ASAP!!

Current processing times are 6 to 8 weeks for standard and 2 to 3 weeks for expedited (extra fee). Be sure to allow yourself enough time to apply/renew your passport.

I WILL BE SHARING A ROOM WITH ANOTHER GUEST, HOW DOES THAT WORK?

Please coordinate with your roommate(s) and designate ONE person to fill out the reservation form.

Reservation forms should be one per room, not one per person. If you and your roommate live at different addresses, make sure to provide the second passenger’s personal information including their email address, phone number, and home address.

What If I’m Not Sure Who My Guest Will Be When Booking My Room?

If you're planning to bring a guest but aren’t sure who that will be just yet, no worries! You can reserve a room for yourself now, and then once you know who your guest will be, you can add them to your reservation.

If this is the case, please submit the reservation form for the primary traveler only and note in the comment box that you plan to add a second passenger at a later date.

Please note that you will initially be charged the single occupancy rate, which will adjust to the double occupancy rate once your guest is added. Additionally, there is a cutoff date for making any changes to bookings, such as adding a guest, which will be clearly stated on your invoice.

WHAT HAPPENS IF I DON'T BOOK WITH TROPICAL SUN VACATIONS?

We kindly ask that you book your resort stay within our designated room block at the resort with Tropical Sun Vacations. 

Booking within our wedding room block is important for several reasons:

• Our travel agent has worked to negotiate a contract for the ENTIRE group which includes a special set rate and included transportation
• Groups are given priority status at the resort, so you will miss out on all the perks and VIP treatment
• Groups are given priority room assignments, so when booking independently, you're likely getting placed in an undesirable location away from everyone else
• Groups are prioritized in oversold situations, ensuring all group bookings are protected, while independent bookings are not and may result in you being moved to another resort

Guests who choose not to book within the wedding room block, unfortunately, will:

• Miss out on the group rates
• Be required to pay in full upfront instead of paying over time
• Forfeit access to travel support or assistance in case of an emergency
• Need to purchase a day pass to attend wedding events on the property (day passes are not guaranteed and are extremely limited due to occupancy restrictions)

SHOULD I BUY TRAVEL INSURANCE?

We highly advise that all travelers purchase travel insurance, as it is the traveler’s responsibility to secure protection. Without insurance, your investment will not be covered in the event of cancellations.

Because group reservations at all-inclusive resorts are pre-paid and non-refundable, travel insurance is strongly encouraged. Life is unpredictable and plans can change.

The cost of insurance is based on your age, your state of residency, and the total cost of your trip. Due to this, travel insurance will be quoted and individualized for each reservation.

Without insurance, there are no refunds should your plans change. You will also not have any medical coverage for mishaps or catastrophic events. Your US health insurance will likely not work outside of the United States.

WHAT IF I NEED TO CANCEL?

We really hope you can make it, but if something comes up please refer to the following cancellation terms:

If you cancel ON OR BEFORE July 30, 2025, there is no penalty (please note the initial deposit of $150.00 per person is non-refundable).

If you cancel ON OR AFTER July 31, 2025, all payments are 100% non-refundable (this is why we strongly encourage travel insurance).
